Fleet Dynamics offers advanced search screens to locate any information sought by the user or required by the system. Advanced Searching allows you to find, edit, and/or insert information as required from anywhere within the program. Search screens are like standard Windows 95 dialog boxes. For example, when you open a file in Microsoft Word, the Open File dialog box appears. This Open File window allows you to search your hard drive for the Word or Excel file to open. Search screens allow you this same control and power.

Fleet Dynamics possesses five basic Search Screens, Employees, Equipment, Systems, Vendors, and Parts. The most complex Advanced Search Screen is the System Search Screen, therefore we will present this screen as an example for this discussion. Once you understand and become proficient with the System Search Screen then you will be able to use and access any other Advanced Search Screen within Fleet Dynamics with ease.

Below is the System Search Screen in which any system in the database can be found, edited, and/or inserted. It could be quite distressing searching for a particular system in a database of thousands of listings. Fleet Dynamics uses Advanced Searching to alleviate the problems and stress associated with this seemingly awesome task. It will allow you to recall any system by some of its characteristics. The search characteristics are user inputs located under the Search Parameters Section.

For example, to search for all Systems attached to Equipment number "9522" and Descriptions containing a "9785" is easily retrieved in Fleet Dynamics.

To accomplish this selective search, the user has to simply set some limits under the Search Parameters Section. For instance, one parameter to set is the Equipment number starting with "9522". This can be done by clicking on the word Equipment once so it turns green as indicated by the above example. By clicking on the word Description twice, it turns red to only search for Descriptions containing the character "9785". You can choose from three states, Off, Starting with, and Containing the information in the search field positioned to the right of the word. Therefore, the Search Parameters can be controlled by clicking on the word (Equipment, System, Type, etc.) to the left of the search field.

Word Color Word Click Search Result
Aqua 0 (Default) No action, this search field is excluded from the search.
Green 1 (Starting with) Search includes all listings starting with the characters in the search field from the database.
Red 2 (Containing) Search includes all listings containing the characters in the search field from the database.

For instance, the System, Type, Make, and Year words in the above example are off (aqua) and their search fields will not be included in the search results. Therefore, data contained in those search fields with aqua words will not be included in the search. For example, even though Refrigeration Unit is entered in the Type field, the Type word is aqua (off), therefore the search is not limited to only trailers. The Equipment field will limit the search to only those systems starting with (green) equipment #9522, while the Description field will simultaneously limit only those systems containing (red) the "9785" in the description. You may impose any number of limits on the search to reduce the number of listings from the database.

Additionally, this search result is displaying any characteristics about the systems that may be checked in the View System by and Type boxes. View System by limits the search to only those systems based on their current status, and Type to only those that are associated or attached to an equipment, or those dissociated or unattached to an equipment. Once you enter all of the Search Parameters, the final task is to click the Refresh button, or press or , to pull up all listings based on those limits. The above example is based on the 2 characteristics (limits) chosen, Equipment and Serial. Once a search is refreshed you may then continue to modify as needed to achieve the final desired results.

The Equipment and System fields are yellow. This is to inform you that when you right click on these edit boxes, a special action will occur. In the case of the Equipment field, right clicking will popup the Equipment Search Screen, this will further aid you in your search for a specific equipment. You may also key or click [Equipment][Choose] on the Main Menu to bring up the Equipment Search Screen. In the case of the System field, right clicking will automatically enter "*PRIME*" in the edit box. This shortcut will limit the system search to only primary systems. In short, yellow edit boxes will perform a unique action when right clicked.

The user may add another limit to the search above by clicking on Type once, making it green. Fleet Dynamics will then only display two listings from the database as your Search Results, the two refrigeration units. Remember only after clicking on the Refresh button, will the Search Results give you the last two listings of the above screen. Next, if you uncheck the Active box and then Refresh, then the screen will return an empty listing, because neither of the trailers are of active status. This indicates that excessive limits in the Search Parameters may return results that do not include the listing you desire. It is advised and forewarned that you use the minimum number of Search Parameters to find your listing. This will ensure that your listing will be returned and found from the database.

After the desired listing has been found in your Search Results, the listing may be edited if needed, by clicking on the edit button. Editing of the current selection can be verified by viewing the Current Selection Section of the Advanced Search Screen. If the listing was not found in the database it can be easily added within this screen by clicking on the insert button. Be sure that the listing is truly not in the database before inserting a new record. Imposing too many limits in the Search Parameters will cause the results to appear as though the listing is absent from the database. If you are not sure of your results, you should deactivate (aqua) some of the Search Parameters to return a more general listing.

After the listing is present in the Search Results and is the Current Selection, then click the Ok Choose button, or press or , to return the information of that selection back to the screen that initiated the Advanced Search Screen. When performing a Repair Order, you will be required to enter the system to perform the repair. The System Search Screen will then prompt you to choose the specific system. When the system is selected, the repair order will know what system the repair is being performed upon and will display pertinent information for that system. System Search Screens will popup in Repair Orders, External Repair Orders, External Receipts and Tickets, and Daily Logs. Similar Advanced Searching exists for Equipment, Drivers, Mechanics, Parts, Vendors, Repair Codes, and General Ledgers. Fleet Dynamics knows the proper screens to use and will prompt you accordingly.
